RETAIL OPERATIONS ASSISTANT

DESCRIPTION: Carry out general office duties to support the Beretta Galleries. Maintain the Retail system, Retail Pro, by keeping it up to date and accurate, create purchase orders in RPro, as well as create reports used by V.P. for sales analysis and customer tracking. Update sales progress daily, update transfers, enter orders in the BIOF system and track reports in the CETOVA system. Learn to use the CRM system used by parent company.
ESSENTIAL JOB FUNCTIONS: Serve as direct point of contact for the Gallery stores as it relates to all merchandising functions, (i.e., item mastery entry, purchase orders entry, price changes, new vendor setup) and daily Gallery operations, (i.e. ordering supplies, marketing materials, etc). Purchase order entry and order management. Enter price changes, update and manage on-orders, track and enter vendors. Oversee inventory receiving, track store-to-store transfer; reconcile merchandise transfers, adjustments and damages at month end. Process, maintain and track all American hunting collection orders for Gallery. Process, maintain and track all BUSA accessory and parts orders for all Gallery stores. Reconcile all receipts, transfers and merchandise adjustments at month end. Complete and track all promotional inventory adjustments in Retail system. Manage and track flow of end of season inventory closeouts. Track all Gallery clothing and accessory back-orders in Retail Pro and JDE. Update Cougar Dash Board report daily. Maintain and update Gallery customer database and track and follow up on firearm sales. Assist in all functions of hunting business to create brochures, schedule bookings and correspond with outfitters and clients. Maintain appointment schedules by planning and scheduling meetings, conferences and travel for Gallery Executives. Create item master sheet for Gallery and Premium Dealer guns for JDE input and track backordering. Create requisitions and maintain purchase orders.
MINIMUM JOB REQUIREMENTS:
Bachelor’s degree or equivalent; or 5+ year’s retail experience and/or training; or equivalent combination of education and experience. Extensive knowledge of Retail Pro POS system, in particular back office function and reporting. Proficient in Word, Excel and Internet software. Strong interpersonal skills and ability to work in a team environment. Good communication skills; ability to communicate well both in person and on the phone, good memory, decisiveness, thoroughness, and ability to write informatively. Organizational skills required. Must be able to work in a professional group office environment. Accuracy and ability to pay close attention to detail and ability to handle multiple priorities required. Must be able to work Monday – Friday, 9:00 a.m. – 6:00 p.m.
